Club Funding

All club budgets are overseen by the Clubs and Finance Committee (C&F) of Student Government and managed through the Club Accounting Books on CampusGroups. Due to the finite amount of funding generated from the Student Activity Fee, the funding policies are designed to maintain equity across all clubs at SOM.

Funding sources are split into three categories:

Clubs & Finance Committee Chairs are elected by the student body, and are tasked with overseeing the distribution and policies surrounding the Student Activity Fee.

Use:

Allows clubs the opportunity to plan ahead of the school year with a pre-determined amount of funds already allocated for their programming needs.

Funds that may be requested for clubs to use in support of various events and activities throughout the year. These funds are from the Student Activity Fee and are allocated based on a thorough review of submitted requests on a weekly basis.

Funds generated specifically by clubs to use for their programming throughout the year.

Clubs must submit a budget request in accordance with C&F policy (see below) and submit each request through the Club's Accounting Book on CampusGroups.

Garnered through corporate sponsorship, membership dues, ticket sales, swag sales, registration fees, fundraisers, etc.

Allocation:

Funds are automatically and evenly dispersed into the club's Accounting Book in CampusGroups at the beginning of each academic year.

Unused funds will not be carried over from year to year and will be pulled back into the Student Activity Fee.

Funds, once approved, will automatically funnel into the club's Accounting Book in CampusGroups.

In addition to the funding options provided above, there are additional resources available to club leaders for seeking additional funds, if needed, to support their events and initiatives.

OCED Funding

Clubs may partner with OCED for specific diversity, equity, and inclusion funding.

Co-Hosting Events

Consider co-hosting your event with another club, department, or school within SOM or broader Yale University or externally to share costs.

Graduate & Professional Student Senate (GPSS)

GPSS supports events, activities, and student groups that are inclusive of all graduate and professional students. They maintain a fund for conference travel; priority is given to students who are presenting or speaking at conferences.

Corporate Sponsorship

Corporate sponsors can be a great way to support and strengthen event experiences. SOM's Alumni Engagement and Development office can assist with club's corporate sponsorship.

Ticket/Goods Sales

For some events, it may be appropriate to sell tickets to attendees. Clubs may also be interested in selling club branded items to their members.

Please note: The following events are not permitted as means to raise revenue:

  • Drinking games and competitions
  • Casino Nights
  • Raffles

CampusGroups is the only way to collect payment online for ticket sales, dues collection, and sale of goods. Venmo, PayPal, or other collection methods are not permitted by the University.

NOTE: There is a 3% credit card transaction fee for all transactions made through CampusGroups that will be deducted from all club sales.

Membership Dues

Clubs can also choose to collect membership fees from their members.

CampusGroups is the only way to collect payment online for ticket sales, dues collection, and sale of goods. Venmo, PayPal, or other collection methods are not permitted by the University.

NOTE: CampusGroups charges a 3% credit card fee per transaction that will be deducted from membership dues collected.

Co-Hosting Events with a Yale Center/Club/Office

If multiple Yale entities are contributing funds to an event, only one entity should submit payment for the entire event:

If an SOM Club is paying:

  1. The SOM Club must collect the Chart of Accounts (COA) from each Yale sponsor.
  2. Each Yale sponsor must email the SOM Club with written permission to debit the required funds from their COA.
  3. The SOM Club should email sombusops@yale.edu requesting the transfer of funds, attaching the permission emails from each Yale sponsor.
  4. Once funds are transferred, the SOM Club should submit a Payment Request through CampusGroups, following the standard process.

If another Yale Sponsor is paying:

  1. The SOM Club must locate its COA number by going to: CampusGroups → Club Page → Settings → Payments
  2. The SOM Club must email the Yale sponsor their COA, and written permission to debit the agreed-upon funds from the Club account.
